DWAG Minutes Friday, June 24, 2005

Review Minutes from February 25, 2005

Minutes were approved. No changes were suggested.

 

Donna asked the group for any feedback on the new ART system that was released in March. A few users commented on how slow the new system seems to be both in generating reports and when waiting to enter the search criteria. Joe said that as there is more data added throughout the fiscal year, the system would tend to run slower to process through all the data. Also after a recent power outage, the system had not been running quite the same. He is looking into the situation.

 

IT Reporting Roadmap (Winkleman)

The IT Reporting Roadmap report is in the final stage of editing with one more round of revisions left. The report addresses the next challenges and direction that IT should be taking. The report will try to incorporate the output from the reengineering committees as well. Shawn will send out a draft version of the report to F&A and DWAG for comments the week of July 5. Once the review is completed by this group, the report will be sent out to the rest of the organization. Shawn will solicit input from the DWAG at the next meeting scheduled for August 5.

 

Update on Reporting Reengineering Activity (Young)

The Reporting Reengineering group is meeting every two weeks. They have identified major groups of reports, both online (i.e. BiTech, ART) and offline (i.e. custom programs run by individuals). The group is currently going through the list of reports and creating a template for each report that includes such items as descriptions, primary users, enhancement opportunities, and where the data comes from. Then they will eliminate similar reports.

 

The group will solicit input from other users to ensure that all areas of reporting are covered. They are still in the process of determining how they will obtain the information. This group is looking at the reporting requirements while IT would be looking at what necessary tools would be best to achieve the requirements. The ultimate goal of the group is to determine the business needs. An example they are looking at is the NCAR Schedule 6 which includes employee and payroll data.

 

Update on Testing of the BiTech CDD Reporting Tool (Young)

A BiTech trainer presented CDD to the 7i Feasibility Group. With the CDD program, it would require users to know some Visual Basic or have some programming experience. A problem with CDD is that it is difficult to get to the final report, but once it has been generated, the reports look good.

 

Shawn has asked Justin to assess CDD and ART to see how they could be used to solve reporting needs.

 

HR Reporting Using Data Warehouse and iVantage HR System (Bitzko)

Joe gave the group a handout of HR Reporting environment using iVantage. It showed the sources of HR information and how it will be reported. iVantage information will flow into and populate BiTech tables, then will be pulled into the datawarehouse. Some reports will be run from iVantage and some from ART. The current plan to go to the new HRIS system is in October for the new FY. There will need to be certain quality measurements met before the system would go live. Karla Edwards is the Project Manager lead on the HRIS project.

Janice noted that in the new ART system, she is able to run some HR reports for the entire institute and multi-division reports with a new option Donna added.

 

Janice welcomed Mary Hanson from MMM to the DWAG. She will be representing ESSL in Mike Moran's place.

 

Earlier in the month Amy had helped Donna with an ART presentation to the F&A Accountants.

 

Action Items

Shawn will send out the IT Reporting Roadmap to DWAG the week of July 5.

The DWAG is to review the report and bring comments and input to the August 5 meeting.
