HR Spectrum iVantage
HRIS System (Carr)
Laurie provided handout on the presentation.
Laurie reviewed the capabilities of the new iVantage HRIS system that will be a 100% web operational, relational database to store, retrieve, analyze and report HR data. The vendor is currently working on customization such as adding and deleting fields, setting up benefit plans, developing online Personnel Profiles, and developing data conversion routines. Laurie displayed an example of an online profile. This will replace the paper copies sent out to the Divisions.
UCAR is currently working on the development of the payroll interface with a message center and payroll encumbrances, web applications such as timecard and other applications that HR data flows to, data conversion, DataWarehouse, browser issues – ensuring that employees can view their respective data as well as Administrators and Managers can view the records for the employees which they are responsible, testing and parallel processing.
During Phase 1, they plan to install the basic HR functionality, install the connection to Bi-Tech payroll, to allow Administrators access to update account keys (validating against the Chart of Accounts), and Employee and Administrators access to Personnel Profiles. The tentative roll out for this phase is still to be determined, but Laurie estimated the completion to be the 4th quarter of this calendar year.
Phase 2 of the process will include Manager and Administration access to limited data entry, Employee access to limited data entry, additional HR and DataWarehouse reports, as well as salary increase process and other HR items. Joe added that the mapping to DataWarehouse reports will be the same as it being run currently when the HR information is moved over to iVantage.
Administrator training will be held after Phase 1 to give a general overview of the new system, show payroll encumbrance and account key tracking, and demonstrate how to view profiles, additional reporting needs and how to enter basic information. After the Administrator training, a one-on-one training will be available to managers to show them how to view profiles and change basic data. For employees, seminar-style training sessions will be held to demonstrate how to view personnel profiles and enter basic changes.
Laurie asked for volunteers from DWAG members and/or admin support staff that would like to participate in the testing. This will require a significant commitment near the end of June and into July (specific dates aren't available yet). She estimated that the time commitment for testing could be up to approximately 40 hours. Report Library discussion: Our current DWOW license does not include the access to the new HRIS Crystal Reports, may need clarification from Donna on this since last meeting.
UOP & New DW Requests: New reports may not be necessary once staff are trained by Donna on what reports are already available.
Testing: DWAG is to report
to Karl the top 10 reports ran in BiTech to determine what to move to DWOW to
test running from live data.
