DWAG Minutes October 3, 2003

Review of Minutes from August 18, 2003
All were in agreement, minutes approved.
DataWarehouse Updates – Steve Hinson
All hardware that runs Datawarehouse has been upgraded. The stability of the hard ware has been much better since the upgrade.
The creation of the DWAG website will be in SCD’s area with content management and support by Donna Duprey. The location within SCD is yet to be determined.
Update on Activities
Steve explained that there were a total of about 40 open “ticket” requests that pertain to DWAG.
There are also some projects outside of the requests that are being addressed such as the ABR Process, Budget Variance Report – to support Justin’s office, A133 Regulatory reporting – which is on hold until after year-end, and Purchasing Reports – the development is complete (includes a suite of 8-9 reports), but is on hold waiting for Contracts review.
Licensing Crystal version 9.0
Currently there is the DWOW site license and approximately 28 individual developer licenses. Steve is looking into the options available to obtain a site license. He is currently not planning to upgrade to version 9.0, but instead going directly to version 10.0, which is not commercially available right now. He expects it to be released around January, but then it will take a few months for UCAR to receive the upgraded copy. They expect it would be live by April/May next year. Those who already have version 9.0 will be compatible with version 10.0.
Review of DataWarehouse Task List – DWAG Related Items
Account Information Report
Donna handed out an example of the report. Data fields were added to the layout of the Chart of Accounts set-up form. She would like to have input regarding the report, especially regarding the fields that currently show blank records. Steve Ettinger and Janice Kauvar will meet as a subgroup before the next DWAG meeting to address the Account Information report.
Report Scheduling
Donna explained that “Most Recent” reports work for scheduling, but those that require specific report dates do not work. She asked the group to look at the “Most Recent” reports to decide which are important. Reports would need to be individualized per division. Each DWAG representative will need to report for their assigned divisions.
Distributing version 9.0
Steve explained this task was for IT to ensure that the license is provided to the end-users. He will update the list to reflect version 10.0. It should also be moved to a general IT information item rather than a DWAG item. It was suggested that a small informational description of the different software version be listed on the DWAG website.
Payroll JE Upload
This report will be demonstrated to the group at the next DWAG meeting. It is currently already in the HR folder on DWOW.
Contract Status Report
The description of this request stated “created modified Contract Status report to reflect Fiscal Year to Date data.” What needed to be changed within the report was not clear. Amy will look at the Contract Status Report to see what data is currently displayed.
Years in Position
This activity is on hold until the new HR system is implemented.
Crystal Reports Documentation per Report
Version 10.0 will have a new feature that will allow linking other files such as Word, Excel, PDF and Crystal Reports to DWOW. Janice will send email to DWAG asking for the level of detail required or necessary as well as how and where the information should be available.
Report to Track Budget Transfers
Mike asked how to view budget transfers by budget level. Anita will send the BiTech step by step instructions to run to find that information. At the November DWAG meeting it will be discussed if that information could be entered to DWOW.
UCREPOST
UCREPOST is an already functional report that is a “snapshot” in time versus a historical report. DWOW reports are currently historical reports. A report like UCREPOST would need a live feed of data from Starburst/BiTech to be accurate. Discussion ensued as to the purpose of DWAG and the goals of future reports.
DWAG Membership – Janice Kauvar
Janice discussed the current representation of NCAR/UCAR/UOP within DWAG. She provided a list assigning divisions to the DWAG representatives.
The current make up of DWAG representation is:
50% NCAR
35% F&A
15% UOP
Justin Young will represent E&O, Steve Ettinger will represent divisions within UOP other than the Director’s group which will remain with Kathy Strand. Janice will send out an email listing all the DWAG representatives and their assigned divisions.
Distributing Email of Minutes to Users
Donna suggested informing the DW users of the DWAG website and the availability of the minutes rather than sending the minutes via email. She thought that the users could already be experiencing email overload.
ACTION ITEMS
Steve Ettinger and Janice Kauvar will meet as a subgroup before next DWAG to gather input regarding the Account Information report.

Donna will present to DWAG the suite of Purchasing Reports and the Payroll JE.
Anita will send the BiTech step-by-step instructions to run for budget transfer detailed transaction information. At the November DWAG meeting it will be discussed if that information could be entered to DWOW.
For the January Meeting:
Steve Hinson will give an update on version 10.0 at the January DWAG meeting. He will post updates as available.
By the January DWAG Meeting, with updates in November, Steve/IT will address timing of the current list and priorities.
